The North American Neuro-Ophthalmology Society (NANOS) accepts submissions of scientific abstracts for its Annual Meeting. See Meeting Information on this website for dates of upcoming meetings. Abstracts may be submitted for either scientific poster and platform sessions or for the Walsh Session. These two sessions at the Annual Meeting have two completely separate abstract submission procedures. The deadline for NANOS abstract submissions is October 15, 2004. Online Electronic submission is encouraged. Please review the following instructions prior to submitting.

Publication
All accepted abstracts, both NANOS and Walsh will be published in the meeting Syllabus which is distributed at the meeting. In order to publish these materials the Society needs you to verify that the abstract is an original creation by you and/or your co-author(s) and that you either own or have obtained all necessary permissions to use the text and images, unless stipulated otherwise. A verification statement appears on the abstract form.

In addition, the Society may publish the abstracts on the NANOS web site, on CDROM or in the Journal of Neuro-Ophthalmology and may videotape any presentation for publication on the NANOS web site. If you do NOT want your abstract materials published in these venues, you must indicate such on the abstract form.

Abstract Length & Format
The maximum length of a NANOS abstract is 300 words, single-spaced. Keep in mind that If your abstract is selected for a platform presentation you will only have 15minutes in total for your presentation. Text must be organized into the following five categories and include 3-5 key references: Objective, Background, Design/Methods, Results, Conclusion. Abstracts not in this format may not be considered. No identifying information is allowed (e.g. author or patient initials or name of institution) in the body of the abstract or in any presentation materials. The abstract should not have been published or be “in press” at the time of abstract submission.

Selection Process
The NANOS Abstract Subcommittee of the Education Committee is responsible for reviewing NANOS abstracts. The purpose of the process is to decide the distribution of platform versus poster presentations. Each committee member is blinded to authors and institutions and scores each abstracts independently. Guidelines for abstract scoring include:
· Abstracts not in the requested structured format are not scored.
· Abstracts requesting a poster only are not scored for consideration of platform presentation.
· Abstracts in which a committee member is a first or contributing author may not be scored by that member.
Criteria of abstract scores include:
· Scientific merits
· Pertinence and interest to Neuro-Ophthalmology
· Originality
· Type of study


Platform Information
To be considered for a Platform Presentation, you must indicate “platform” in the Preferred Presentation Format section of the abstract form. Abstracts selected for Platform presentations must prepare for a ten (10) minute presentation followed by five (5) minutes of discussion. Authors will be notified of their assigned date and time by the end of November.
For the 2005 Annual Meeting Platform Presentations are scheduled for the following dates and times:
Monday, February 14th 5:00 pm – 7:00 pm
Tuesday, February 15th 7:30 am – 12:00 pm
Wednesday, February 16th 5:00 pm – 7:00 pm

Poster Information
Abstracts not selected for Platform Presentations and not rejected will be scheduled for the Poster Session. For the 2005 Annual Meeting the Poster Session will be held on Tuesday, February 15th from 4:00 pm to approximately 8:00 pm. Posterboards will be 8’ wide by 4’ high and push pins will be provided. Authors will be able to put their posters up from 3pm to 4pm on Tuesday the 15th and must remove their posters at the end of the session. Authors will be assigned a time to “stand by” their poster.

Abstract Author Acknowledgement
First authors must disclose any Commercial Relationship, including the name(s) of the firm(s) with which a commercial relationship exists, associated with the abstract. The Abstract Author’s Acknowledgement – Concurrence and Disclosure Statement that appears on the abstract form must be completed for the abstract to be considered.

AV Equipment
Poster Session: Authors are responsible for creating their own poster displays. Tables for handout materials will not be available. A table and electrical hookup can be ordered for computer presentations (including video) projected on the author’s laptop. This equipment must be ordered at time of abstract submission.

Platform Sessions: Authors are responsible for recording their presentation onto a CD and bringing it to the AV Technician in the main session room the day before their scheduled presentation time. All presentations will be run off the main computer console. No individual PCs will be allowed. 35mm slides will not be accepted. Please indicate on your abstract form If you need a separate VHS projection as well as whether your presentation is recorded in IBM/PC compatible or MAC.

Withdrawals
For posters, if the First Author is unable to present, he or she must arrange for a co-author to present.
For Platforms, if the First Author is unable to present, he or she must contact the NANOS Office in writing by December 1st with the name of the co-author doing the presentation or to notify of complete withdrawal. Keep in mind that NANOS uses a “one first author, one platform” rule.
Any abstracts withdrawn after December 1st are likely to still be published in the meeting Syllabus.
If an author fails to notify the NANOS Office in a timely manner of the withdrawal or first author change, or do not appear to present as scheduled, the First Author will be ineligible to submit an abstract for a full calendar year.

Student/Resident/Fellow Abstract Awards
The Society recognized the importance of encouraging young investigators and has developed awards for the best work by a medical student, by a resident and/or by a fellow. All those who are eligible are encouraged to apply. To apply, you must indicate your eligibility on the NANOS abstract form. Depending on the quality of the submissions, these awards may not all be given each year. This award program is available only for the NANOS abstract submissions, not the Walsh Abstract submissions.

Eligible candidates for these awards include any medical student, resident or fellow who is the first (presenting) author of work done as a student, resident or fellow respectively. This includes both those who are still in that status, as well as those who submit the abstract either in the same calendar year as the completion of the relevant training or the calendar year following.

The type of award is determined by the status of the candidate when the work was completed. For example, if you are applying for the resident award you must have done the work during residency and have completed your residency no earlier than the calendar year prior to the year you are submitting the abstract. If you have continued the work into fellowship and this is included in the submission, then you would apply for the fellow award, not the resident award.

Eligibility is contingent upon the advisor (who should be a co-author) submitting a statement regarding training status (i.e. student, resident or fellow) when the work was completed, and date of completion of that training. Candidates should check that this information has been submitted so they can be considered for the appropriate award.

Judging for the awards is done by the NANOS Abstract Committee and is based upon the candidate’s platform or poster presentation at the Annual NANOS Meeting. The work will be judged on several criteria including:

  • Clarity of presentation
  • Relevance and interest to Neuro-Ophthalmology
  • Originality
  • Type and quality of study
  • Presenters knowledge of the project and relevant subject matter

The awards are presented at the NANOS Annual Banquet, which is scheduled for February, 16, 2005.
